Smart Collections

Collections that build themselves. Define rules, and matching assets appear automatically.

How smart collections work

A smart collection is a saved set of filter rules. Any asset that matches the rules is automatically included. When new assets are uploaded or existing assets are updated, the smart collection re-evaluates and adjusts its contents. No manual adding or removing.

Creating a smart collection

Open the Collections panel, click "New collection", and toggle on "Smart collection". Add one or more rules using the rule builder. Choose whether assets must match all rules or any rule. Save, and the collection populates instantly.

Available filter fields

You can build rules using any of these fields:

File typeFilter by format: JPEG, PNG, WebP, SVG, video, 3D, etc.
TagsMatch assets with specific tags, including AI-generated tags.
Date uploadedBefore, after, or within a date range.
Date modifiedTrack recently changed assets.
DimensionsWidth or height greater than, less than, or equal to a value.
File sizeFind oversized or tiny files.
Approval statusPending, approved, or rejected.
Custom metadataAny custom field you have defined on your workspace.
FolderScope the collection to a specific folder or folder tree.

Match types: all vs. any

When you set multiple rules, choose how they combine. "Match all" means every rule must be true (AND logic). "Match any" means at least one rule must be true (OR logic).

Example with "match all": file type is PNG AND tag is "product" AND width is greater than 2000px. Only large PNG product images show up.

Example with "match any": tag is "hero" OR tag is "banner". All hero and banner images appear in one place.

Auto-updating behavior

Smart collections update in real time. Upload a new PNG with the "product" tag and it immediately appears in any smart collection that matches those criteria. Remove the tag and it disappears from the collection. No manual syncing, no stale results.

Editing rules

Right-click a smart collection and select "Edit rules" to adjust the filters. Changes apply immediately. You can add rules, remove them, or switch between match-all and match-any at any time.
