Supplier Portal

Give your suppliers a simple way to upload product assets without touching your main workspace.

What the supplier portal does

The supplier portal is a separate interface where external contributors (photographers, suppliers, brand partners) upload product images directly into your Sirv AI Studio workspace. They see only the products assigned to them and the upload slots you define. Nothing else.

This keeps your internal asset library clean. Supplier uploads land in a staging area where your team reviews them before they go live. No more email attachments, WeTransfer links, or shared drives.

How suppliers get access

An admin on your team invites suppliers by email. Each supplier gets a unique login to the portal. They can only see products that have been explicitly assigned to them, so a photographer working on your summer collection won't see assets from your winter line.

Suppliers don't need a Sirv AI Studio subscription. Their access is tied to your workspace and your plan. You can revoke access at any time from the supplier management screen.

The supplier dashboard

When a supplier logs in, they see a dashboard showing their assigned products grouped by project or category. Each product card shows how many asset slots are filled versus how many are required. A product needing 6 images with 4 uploaded shows "4 of 6 complete."

The dashboard also shows submission status at a glance. Green means approved. Yellow means pending review. Red means rejected with notes from your team. Suppliers can click into any rejected asset to see the feedback and upload a replacement.

Submission history

Every upload is logged with a timestamp, file details, and current status. Suppliers can view their full submission history to track what they've sent and what still needs attention. This history persists even after assets are approved, so there's always a clear audit trail.

Why it matters

Without a portal, collecting assets from suppliers is a mess. Files arrive in random formats, with wrong names, through scattered channels. The supplier portal puts guardrails on the process. You define exactly what you need (file types, dimensions, naming) and suppliers follow the spec.

The result is faster turnaround, fewer back-and-forth emails, and assets that arrive ready to use. Your team spends time reviewing content instead of chasing it.
