Approvals

Make sure every asset gets reviewed before it goes live. No more 'oops, wrong image' moments.

The review workflow

Every asset in a workspace with approvals enabled follows a simple lifecycle:

Draft
Pending Review
Approved
Published

Assets can also be Rejected, which sends them back to the creator for changes. After fixing the issues, the creator resubmits and the asset goes back to Pending Review.

What each status means

Draft

The starting point. The asset is being worked on and is not ready for review yet. Only the creator and Admins can see it. Make your edits, run your AI tools, get it looking right.

Pending Review

The creator has submitted the asset for review. It shows up in the review queue for Owners, Admins, and Editors with approval permissions. The asset is locked from further edits until the review is complete.

Approved

A reviewer has signed off on the asset. It is ready to be published. You can publish immediately or wait and publish a batch together.

Rejected

The reviewer found issues. A rejection reason is attached so the creator knows what to fix. The asset goes back to Draft status and is unlocked for edits.

Published

The asset is live and visible to anyone with access. If the workspace is connected to Shopify or Sirv CDN, publishing can trigger an automatic sync.

Submitting for review

Open an asset in Draft status and click Submit for review. You can submit a single asset or select multiple assets from the library view and submit them as a batch. Add an optional note for the reviewer (like "Background replaced per brand guidelines") to give context.

Who can approve?

By default, Owners and Admins can approve or reject assets. You can also grant approval permissions to specific Editors from Settings > Permissions. This is useful when a senior designer needs to review work without having full Admin access.

Viewers, Uploaders, and Suppliers cannot approve. The creator of an asset also cannot approve their own submission. Someone else on the team always needs to sign off.
